Privacy notice

What the club keeps about members, parents and juniors, why, who sees it, and your rights.

This notice explains what Winterbourne Cricket Club keeps about you and your family, why we keep it, who we share it with and how long we keep it. There's a shorter version written for young people on the privacy notice for juniors page.

Who we are

Winterbourne Cricket Club, Portway, Winterbourne Gunner, Salisbury SP4 6JL. The committee is responsible for the information in this notice. To ask about your information, use the contact form and choose "Data protection", or make a request from your account.

What we keep

  • Contact details: names, email address, phone number and home address for each household.
  • About each member: date of birth (for juniors, to put them in the right age group and keep them safe), the team or section they play in, and their Play-Cricket player number.
  • Emergency contacts for juniors.
  • Medical information you choose to give us, such as asthma or an allergy, so coaches and captains can keep players safe.
  • Consents and agreements: photo and publication consent, first aid consent, the codes of conduct, and marketing choices, with the exact words you agreed to and when.
  • Money: membership fees, match fees, training fees, tickets and bar tabs you've paid or owe. Card details are held by Stripe, never by the club.
  • Cricket: your availability, the teams you're picked for, and scorecards and statistics from Play-Cricket.
  • Messages the club has sent you, by WhatsApp, email or app notification.
  • Qualifications for coaches and volunteers, such as DBS checks and safeguarding courses.

Why we keep it, and the law that allows it

  • To run your membership (the membership contract): joining, renewing, fees, teams, selection and match fees.
  • To keep people safe (legal obligation and legitimate interests): safeguarding, emergency contacts, qualifications, and the rules on juniors playing adult cricket.
  • Medical information (your explicit consent, or to protect someone's vital interests in an emergency).
  • Photos, and juniors' names in results and reports (your consent, which you can change at any time in your account).
  • Club news and newsletters (your consent). Receipts, sign-in codes and messages about games you're involved in always go, because they're part of your membership.
  • Participation records and statistics (the club's legitimate interest in recording its cricket).
  • Money records (legal obligation: we keep accounts).

Who we share it with

We only share what each needs:

  • The England and Wales Cricket Board (ECB): affiliation, safeguarding (Safe Hands) and Play-Cricket, where fixtures, results and scorecards are recorded.
  • The leagues the club's teams play in, for player registrations and results.
  • ClubSpark, the ECB's booking system for All Stars and Dynamos.
  • Stripe, which takes card payments.
  • SumUp, which takes card payments at the bar.
  • Meta, for WhatsApp messages, and for Facebook and Instagram posts that you've agreed to.
  • Cloudflare, which hosts the club's website and sends its emails.

Some of these companies store information outside the UK. When they do, they use the legal safeguards UK law requires.

We never sell your information, and we never put a junior's name next to their photo.

How long we keep it

  • Membership records: while you're a member, and for a period after your membership lapses that the committee sets and publishes here.
  • Money records: six years, as the law requires.
  • Safeguarding records: as long as the NSPCC and ECB advise.
  • The log of messages we've sent: two years.
  • Sign-in codes are deleted within two days.

Your rights

You can ask for a copy of your information, ask us to correct it or delete it, object to how we use it, or ask us to limit its use. You can withdraw any consent at any time. Most of this you can do yourself in your account, including downloading a copy of everything we hold about your household. We answer other requests within one month.

Complaints

If you're unhappy with how we've handled your information, please tell us first using the data protection complaints form. We'll acknowledge it within 30 days. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

The website uses one cookie, to keep you signed in. It doesn't track you around the internet, and there are no advertising cookies.
